The denial is one line long: the claim "did not show proof of Value." Sellers get it even with full tracking and a paid label, and a close variant denies because USPS has "no verification of your method of mail." Both mean the same thing — the claim file never connected the item to a dollar amount, a payment, and a shipment in a form the reviewer could accept.

Sales receipts and order records are not always enough, because carriers reject valid-looking eBay documents for format reasons: they want proof of value, proof of payment, the payment processor's name, or the Final Bid Page — each in a specific shape. This checklist is the document set that answers all four, built for eBay sellers.

What "proof of value" actually asks you to show

A claim reviewer is trying to tie four facts together: what the item was, what it was worth, that it was paid for, and how it was mailed. A single screenshot rarely does that. Each document in your packet should answer one of the four questions clearly.

  • Proof of value: what was the item and what was it worth?
  • Proof of payment: who paid, through which payment processor, and when?
  • Proof of mailing: which mail class and service carried the package?
  • Incident evidence: what happened to it — damage photos or a lost-package search record?

The document set, in order

Gather these before you file or appeal. If you already filed and were denied, this is the set to attach to the appeal:

  • eBay Order Receipt PDF — download it from Seller Hub or your order history. It shows item, price, buyer, seller, and dates in one document. Save it as both a PDF and a screenshot.
  • Final Bid Page screenshot — the ended listing with the item title, final price, and ship date. UPS has asked for this page by name and rejected sales receipts that did not show buyer, item, tracking, and ship date together.
  • Proof of payment — the payment processor record: a PayPal or card statement line matching the order, or the processor named on the Order Receipt.
  • The shipping label image with the mail class visible — this is what fixes the "no verification of your method of mail" denial on Priority and Ground Advantage claims.
  • Full tracking history screenshot, including delivery or the last scan.
  • For damage: photos of the item and the original mailing container. For loss: the completed USPS mail search request.

How to prove eBay was the payment processor

On managed payments, the buyer's money flows through eBay's payment processor, and the statement descriptor is not always obviously "eBay." When a claim form or appeal asks who processed the payment, use the Order Receipt as the anchor: it names the processor and shows the order number that ties the payment to the item.

Include the eBay order number, the buyer and seller IDs, and the payment processor name exactly as printed on the Order Receipt. If the form wants bank-level proof, add the statement line that shows the payment. Keep the pieces together — an order number without the receipt, or a receipt without the processor named, is what triggers a second denial.

Attach the set as one packet, not a pile

How you submit the documents matters as much as which documents you have. A reviewer should be able to match every denial reason to a specific file in seconds.

Most claim portals handle a single combined PDF more reliably than seven loose attachments, and a one-page index at the front lets the reviewer see the whole set before opening anything.

  • Name files so the reviewer knows what they are without opening them: order-receipt.pdf, final-bid-page.png, tracking-history.png.
  • Lead the appeal with the exact denial reason and which attached document fixes it.
  • Combine everything into one PDF with a short index on the first page.
  • Keep the item and its original packaging until every appeal is exhausted — packaging is claim collateral.
